How does applying through Workday work?

You create an account on the employer's Workday careers site, upload your resume, check the fields it fills, answer the employer's questions, and review everything before you submit. Each employer configures its own site, so the screens differ a little. The order below follows Kean University's published guide for external candidates.

Kean University's guide to applying as an external candidate lists ten steps: account creation, Quick Apply with your resume, My Information, My Experience, documents, application questions, voluntary disclosures, terms and conditions, self identification, and a final review. On Quick Apply, it says "The resume will automatically populate parts of the application."

That automatic step is the one to watch. The rest of this page follows each stage, with what Workday's own documentation or an employer's careers guide says, checked November 3, 2026. Workday is software many employers use, and the employer decides which features to turn on.

Do you need a new Workday account for every employer?

Plan on one account per employer site. Workday's admin guide describes Candidate Home accounts as something "candidates can register an account on your external career site," written for each employer setting up its own site. Some employers with several career sites share one account across them.

Workday's admin page on setting up Candidate Home accounts says an employer can "require Candidate Home accounts for all job applications." Through the account, the employer can send you questionnaires, scheduling requests, documents to sign and assessment tests.

The Universities of Wisconsin's page on External Candidate Home accounts, last updated September 30, 2026, says "This account can be used across all external career sites" at that institution. It also says candidates can sign up with an email address or with social sign-in. If you use social sign-in, password resets go through that provider.

Use the same email address on every application to one employer. It keeps your applications tied to one account, and it is the address the employer will write to.

Should you use Autofill with Resume or apply manually?

Use autofill to save typing, then check every field it filled. The Colorado School of Mines guide says autofill "will do its best" and warns that the process "isn't perfect." It calls applying manually "the most accurate method of applying," though it takes the most time.

The Mines guide for external candidates, last modified June 17, 2024, offers three starting options: Autofill with Resume, Apply Manually, and Use My Last Application. Of the third, it says "You will likely need to go through the application and tailor it to suit the current position."

A resume that parses well makes autofill more useful. The page on ATS-friendly resume format lists the layout rules vendors publish: one column, contact details in the body, full job titles, and a .docx or text-based PDF.

What should you check in the My Experience section?

Check every job title, employer name, start date, end date and description against your resume, line by line. Kean's guide says of My Experience, "On this page you can edit your experience as appropriate," and it puts certifications and documents at the end of the page.

Here is an example of what a parsed entry can look like and how to fix it. The person and job are made up for this page.

  • Autofilled job title: "Senior Analyst Northwind Traders Inc. Toronto"
  • Autofilled dates: start 01/2022, end blank
  • Corrected: job title "Senior Analyst," company "Northwind Traders Inc.," location "Toronto, ON," start 03/2021, currently work here checked

Fix the description too. If autofill dropped your bullets or merged two jobs, paste each job's bullets into its own entry. These fields become part of your application, so they should say exactly what your resume says.

How does Workday rank applicants?

If the employer uses Workday's HiredScore, the software grades each applicant against the job's qualifications, from A for the most qualified to D for the least. An August 2026 update has an AI model check each screenable qualification against your parsed resume one at a time. A recruiter uses the grade to decide whom to read first.

Workday's reference on HiredScore candidate grades, last updated June 23, 2023, says grade A means the candidate "meets all basic (required) qualifications" plus most preferred ones. Grade B meets all basic qualifications. Grade C meets most but not all, and grade D does not meet most.

The August 5, 2026 HiredScore release note says Spotlight now "evaluates each screenable qualification individually against the candidate's parsed resume." Two things follow. Your resume needs visible evidence for each required qualification, and that evidence needs to survive parsing. The guide to resume keywords shows how to find the qualifications that count.

Does Workday reject applications automatically?

Workday's HiredScore feature list describes automatic advancing and a manual tool for rejecting. Candidate Fast Lane can "automatically advance top-rated applicants," and Trigger Candidate Movement lets a recruiter "advance or reject candidates individually or in bulk." The page does not describe a feature that rejects candidates automatically. Employers can still add their own screening questions.

Workday's HiredScore AI for Recruiting reference, last updated October 18, 2024, lists those features under automation recipes and recruiter productivity.

The application questions are where your answers decide the most. The Mines guide says these questions "may vary from job posting to job posting," with examples such as legal authorization to work and need for sponsorship. Read each one slowly and answer it accurately.

Can an old Workday application come back to you?

Yes. HiredScore's ATS Fetch feature can "identify and retrieve past applicants as potential leads who you can invite for active job openings." Your past application to an employer can resurface when it hires again, which is one more reason every version you send should carry the same facts.

The Mines guide's "Use My Last Application" option has the same effect from your side. Your last answers carry forward, including any job title or date you wrote for that role. Before you reuse one, read it against your current resume.

Keep one list of facts and build every version from it. The page on how to tailor a resume without lying explains how to change the order and wording for each posting while the figures, titles and dates stay the same.

What does a Workday posting in Ontario have to tell you?

From January 1, 2026, Ontario employers with 25 or more employees must say in a public job posting if they use artificial intelligence to screen, assess or select applicants. That applies whatever software they use. The same rules require postings to say whether a vacancy exists and to give expected pay, with some exceptions.

Ontario's guide to requirements for publicly advertised job postings, last updated February 24, 2026, says "the employer must disclose the use of the artificial intelligence in the posting." It also requires employers to tell interviewed applicants whether a hiring decision has been made within 45 days after the last interview.

Which Workday steps need the most care?

The table puts each step beside what to do and where the advice comes from. Most of the work is checking what the software filled in and answering questions accurately. A few minutes on the review screen can catch a wrong date the recruiter would otherwise see first.

What should you do after you submit a Workday application?

Save a copy of the resume and answers you sent, and note the date. Your Candidate Home account is where the employer may send questionnaires, scheduling requests or assessments, so check it along with your email. If you are interviewed, the version you sent is the one the interviewer will have open.

The page on how applicant tracking systems work covers what happens to your application across vendors. The free resume optimizer checks every line of your resume against a posting before you upload. Once you have applied, the guide to how long to hear back covers the wait.
